Background
Oen is a B2B fintech platform for payments, donations, events, memberships, and CRM. Every new client had to clear KYC before taking a single payment, and the whole check ran by hand.
There was no portal on either side. The business team collected business details, banking information, and documents from each client manually, and every missing file meant another round trip. Setup took 3–5 days per client, across 50+ new clients each month.
My role
I designed the client-facing onboarding portal and the KYC process inside it, in two parts: domain setup, then the payment services application. I also designed the review side in the admin panel, where the business team checks each submission. Sandy Man designed invite creation in the admin panel.
Two directions were rejected. Self-serve signup lost to invites, so every domain has someone accountable for it and spam never reaches review. A three-column layout, with stepper, form, and helper text side by side, split the client's attention, and where helpers were sparse it left the page half empty.
Impact
- Under 4 hours from invite to activation, down from 3–5 days. Clients now fill in structured information once, so the business team reviews instead of collecting.
- 80% of manual data collection removed across business details, banking information, and documents.
- Every active domain traces back to a named team member, through the invite.
- Later payment methods and KYC documents were added to the portal without a redesign.
